Event Relationship Manager

Position Overview:

We are seeking a skilled and detail-oriented Exhibitor and Vendor Manager to join our team. The role involves managing all aspects of exhibitor and vendor relationships, including communication, payments, forms, relationships, set up manuals, and processes. The ideal candidate will have excellent organizational and communication skills, a strong attention to detail, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:

Communication Management:

  • Act as the primary point of contact for exhibitors and vendors, providing timely and accurate information regarding event logistics, requirements, and deadlines.

  • Coordinate communication channels, including email, phone calls, and online platforms, to ensure clear and consistent communication with all stakeholders.

Payments and Forms:

  • Manage exhibitor and vendor payments, including invoicing, processing payments, and resolving any payment-related issues.

  • Collect and review required forms and documents from exhibitors and vendors, ensuring completeness and accuracy.

Relationship Management:

  • Build and maintain positive relationships with exhibitors, vendors, sponsors, and other partners, addressing their needs and concerns proactively.

  • Collaborate with internal teams to fulfill exhibitor and vendor requests and ensure a seamless experience for all parties involved.

Set Up Manuals and Processes:

  • Develop and maintain detailed set up manuals and guidelines for exhibitors and vendors, outlining event logistics, booth specifications, deadlines, and rules/regulations for venues.

  • Implement and enforce processes and procedures to streamline exhibitor and vendor management, ensuring compliance with event policies and standards.

Qualifications:

  • 5-7 years of proven experience in exhibitor/vendor management, event coordination in a fast-paced environment

  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.

  • Excellent communication and interpersonal skills, with a customer-centric approach.

  • Ability to work independently and collaboratively in a team environment.

  • Attention to detail and a proactive problem-solving mindset.

  • Willingness to travel extensively and work flexible hours, including weekends and holidays. The height of event seasons would be 60-65% travel - must enjoy life on the road, ability to thrive with a flexible travel schedule and is comfortable working in both indoor and outdoor environments, depending on the nature of the events.

  • The ideal candidate must be able to complete all physical requirements of the job, including but not limited to moving or lifting equipment weighing up to 50-60 pounds, stand for long periods of time, ability to bend, lift, squat, reach with ease.

  • Obsessively detail oriented, self-driven, results-oriented with a positive outlook and a clear focus on quality and business efficiency.

  • Possesses excellent problem-solving and has the innate ability to react quickly to deviations in the event plans.

  • Reliable, tolerant, and determined, comfortable working under pressure with tight deadlines.

  • Must be self-motivated team player, professional, and possess excellent oral and written communication skills.

  • Capacity to scope, manage, and execute more than one project simultaneously.
